Applications and pre-tenancy workflow

The applications pipeline

LetSense has a lightweight pre-tenancy workflow inside each property's Applications tab. It covers viewings, shortlisting, and offers — without replacing a full CRM.

Adding an applicant

  1. Open the property and go to the Applications tab.
  2. Click Add applicant and enter their name, email, and phone.
  3. The applicant appears in the pipeline at the "Enquiry" stage.

Scheduling viewings

Inside an applicant's record, click Add viewing. Set the date and time — you can add multiple viewings per applicant. Viewings are saved immediately (no separate save button).

Shortlisting

Once you've done viewings, click the star icon on any applicant to shortlist them. Shortlisted applicants show a star in the pipeline view. You can rank shortlisted applicants by dragging them into order.

Recording an offer

For your preferred applicant, open their record and fill in the Offer section:

  • Offer status (pending / accepted / refused)
  • Offered rent
  • Proposed start date
  • Notes

Click Save shortlist & offer to confirm.

Running a reference check

With an accepted offer, click Run reference check to start a LetsSafe tenant reference. Results return within 24–48 hours. See the referencing guide for details.

Converting to a tenancy

Once referencing passes, click Convert to tenancy on the applicant record. LetSense creates a tenancy pre-filled with the applicant's details and the agreed rent — ready for you to add the tenancy agreement and invite the tenant to their portal.
